We have developed a digital strategy to clarify processes, increase efficiency and determine the most appropriate IT systems for future business operations. 3sSport offers sports and educational programs at multiple locations and coordinates activities for a large and growing team. With the ambition to further expand the workforce and work area in the coming years, 3sSport wanted to strengthen its digital base.

The first step was a thorough analysis of the current situation: the existing practices, processes and systems used. We interviewed department leaders from across the organization. The key findings were:
Manual and fragmented processes
Core activities such as invoicing, payments and reports were mostly done manually in Excel. Repetitive checks and updates took a long time and increased the risk of errors.
Fragmented documentation
Important documents, such as quotes, reports, and analyses, were shared by email or stored locally. This made collaboration difficult and reduced the reliability of information.
Lack of specific systems
HR tasks such as time registration, expense reimbursements and leave management were performed manually in multiple tools. In addition, a CRM system was missing, which meant that insight into customer and applicant relationships was limited.

To achieve the ideal to-be situation to arrive, we investigated various systems for the future IT landscape. Two possible scenarios were compared based on key criteria: scalability, user experience (UX/UI), ease of implementation, costs and organizational connectivity.
1. Improving the existing IT landscape
Improve current systems by expanding the use of existing tools, adding automation where possible, and integrating specialized solutions if necessary.
2. Implementing an all-in-one system
Adopt a fully integrated system that combines all functionalities into one platform, simplifying management but requiring a complete transition.
Our advice was to gradually improving the existing landscape. This approach ensures a smooth transition, maintains familiar work processes, and offers flexibility in choosing the best CRM and financial tools to support 3sSport's growth.
